This full-time position reports to the Associate Vice Chancellor for Institutional Planning and Effectiveness and is primarily responsible for managing the Administration reception desk and performing clerical duties, including bookkeeping, data entry and filing.
Responsibilities:
- Support a professional office environment with efficiency and courtesy, focused on institutional responsiveness to external visitors, students, and co-workers.
- Route foot traffic from students, vendors and colleagues properly.
- Answer phones, respond promptly to emails and receive guests in a manner that is both professional and welcoming.
- Provide clerical support to Institutional Effectiveness and Advancement offices, to include: preparing correspondence and reports, managing office supplies and inventory, maintaining an organized and accurate filing system, submitting purchase requisitions and managing mail distribution for the administration building.
- Assist the department in communicating technical support and maintenance needs through the appropriate channels.
- Assist with the planning and execution of departmental and campus meetings, including reserving rooms, submitting layouts, and room setup and takedown.
- Maintain Foundation files and donor records in accordance with internal policies and applicable privacy laws.
- Provide bookkeeping and clerical support for the Foundation to include: preparing and recording deposits, completing payment requests, and creating and sending invoices and acknowledgements.
- Maintain a professional appearance in accordance with the college’s dress code.
- Perform other duties as assigned.
Position may require occasional weekend/evening hours for special events/meetings.
Qualifications:
- High school diploma required, associate’s degree preferred
- Strong working knowledge of Microsoft Office applications, including Outlook, Word and Excel
- Experience with data entry, record keeping and basic financial reconciliation
- Ability to effectively organize and maintain accurate files and records and operate standard office equipment.
- Strong interpersonal, telephone, written and oral communication skills, including the ability to interact confidently with high-level stakeholders, including trustees, donors, and government officials
- Demonstrated track record of professional dependability and reliability, including punctuality and attention to detail
- Ability to work both without supervision and as part of a team.
- Ability to multitask and manage competing priorities

Salary: $31,200 annually, with full college benefits
