This is a full-time, grant funded classified position with full college benefits.
Qualifications: High school diploma, with associate’s degree preferred; one or more years of training in secretarial/clerical support skills, and 1-3 years of secretarial experience. Excellent computer — email, word processing, spreadsheet and database, preferably in Microsoft applications – and telephone skills; attention to detail; and ability to organize and execute multiple tasks, maintain a database, and to execute all responsibilities with minimal follow-up. Must have good knowledge of general office and record-keeping procedures, of standard office equipment, and of basic mathematical calculations. A skills test will be required as part of the interview process.
Responsibilities: Reports to the director of the TRiO EOC Program with responsibility for ensuring an efficient, courteous, and customer-focused office environment; for providing general administrative support for TRiO staff including correspondence and report preparation and ordering, distributing, and tracking materials and supplies; tracking student enrollments; performing data entry and account reconciliation for budgets; planning and coordinating workshops, meetings, and travel; and performing other duties as assigned. Work hours include some evening assignments.
· Supports a professional office environment of efficiency, courtesy and customer service in support of institutional responsiveness to external visitors, students, and co-workers; and directs and assists students as needed.
· Performs data entry for the TRIO EOC database ensuring accuracy and timeliness of entries in relation to the goals, objectives and activities of the program.
· Provides general clerical support for TRIO EOC including taking minutes at staff and other program meetings; preparing requisitions, internal supply requests, and travel documents; maintaining the EOC outreach and events calendar; and preparation of grant reports, monthly and annual performance reports.
· Ensures that the Educational Opportunity Center Policy and Procedure Manual is updated with required documentation in support of grant goals, participant access, form and documentation updates, and participation in the program for accomplishment of the TRIO EOC goals and objectives.
· Collects and organize PAR, monthly productivity as well as drawdown and budget reports.
· Prints weekly data reports from the StudentAccess database for the Director and Counselors.
· Engages in professional development which enhances job performance and growth.
· Performs other duties as assigned.
Salary: $21,827 with full college benefits.
