Dr. Barbara C. Baxter Learning Success Center (LSC)
Position Summary: The Administrative Specialist is a full-time, 12-month position that plays a vital role in supporting the mission of the Learning Success Center (LSC) by ensuring a welcoming, efficient, and student-centered environment. This position provides comprehensive administrative support to LSC staff, assists students with services and resources, and contributes to campus-wide initiatives and events. The ideal candidate is detail-oriented, proactive, and committed to student success and reports to the Associate Vice Chancellor for Student Success.
Key Responsibilities:
- Administrative & Office Support
- Serve as the first point of contact for students and visitors to the LSC.
- Answer and direct phone calls courteously; maintain the testing email and respond promptly.
- Schedule and coordinate meetings, workshops, and travel arrangements.
- Maintain accurate records in Starfish, Outlook, and KIVA.
- Prepare requisitions and maintain documentation for purchases and travel.
- File and scan documents; manage office supplies and inventory.
- Student Services & Program Support
- Assist students with laptop, hotspot, and calculator checkouts.
- Support tutoring and testing services, including appointment scheduling and proctoring coordination.
- Help students navigate LSC services and provide information about Disability Services.
- Record student interactions and participation in workshops and activities.
- Project & Event Coordination
- Participate in LSC events such as New Student Orientation, workshops, and campus tours.
- Assist with event setup, cleanup, and logistics.
- Help organize and document LSC projects and initiatives.
- Campus Engagement
- Actively participate in at least two campus committees.
- Attend departmental and campus-wide meetings.
- Support campus-wide events and collaborate with departments like Trio SSS.
- Assist with and attend the annual commencement ceremony.
- Professionalism & Growth
- Maintain a professional appearance in accordance with the college’s business casual dress code.
- Communicate availability via Outlook calendar and door signage.
- Seek professional development opportunities and share knowledge with colleagues.
Qualifications:
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, Planner).
- Strong communication and interpersonal skills, both written and verbal.
- Ability to manage multiple tasks, prioritize effectively, and work independently.
- Experience with data entry, record keeping, and basic financial reconciliation.
- Familiarity with educational support services and student engagement is a plus.
Salary: $31,200 annually, with full college benefits
